How to Create a Printable Monthly Calendar Planner in Canva | Step-by-Step Tutorial

Learn how to create a printable monthly calendar planner in Canva from scratch. In this beginner-friendly tutorial, I'll show you how to design a clean, minimalist twelve-month calendar planner that you can print and customize for your own needs.

We'll be creating an A4 landscape planner with a simple monthly header, weekday labels, and a large calendar grid where you can write down appointments, plans, notes, or anything else you need to keep track of.
I'll be using a Monday-start calendar, but you can easily adapt the layout to a Sunday-start version if you prefer.
By the end of this tutorial, you'll have a reusable twelve-month calendar planner that you can print and customize for your own needs.

Although I'm using A4 landscape in this tutorial, you can easily adapt the design to US Letter or any custom print size.
Step 1: Create a New Canva Document
Start by creating a new design in Canva.
For this tutorial, I'm using an A4 Landscape document. You can use US Letter instead, or enter your own custom dimensions if you need a different print size.

Step 2: Create Custom Guides
Once your document is open, go to File and look for Show margins. Depending on your Canva interface, you may find this directly under Settings, or under Rulers and guides.
Enable Show margins.
For this calendar planner, I want to use a slightly larger area than Canva's default margins, so I'll create my own guides.
Press R on your keyboard to add a rectangle.
Resize the rectangle so it's slightly larger than the default Canva margins.
Then go to Position > Align to page and choose Middle and Center.
Use the edges of the rectangle as a reference and drag guides from the rulers to create your new guide lines.

Once the guides are in place, go back to File > Settings, or Rulers and guides, depending on your Canva interface, and choose Lock guides.
Delete the temporary rectangle, then go back to the same menu and disable Show margins.
Canva shortcut worth remembering:
Press Shift + R to quickly show or hide the rulers and guides.
Your custom guides will now give you a consistent area to work within as you build the calendar.

Step 3: Add the Month and Year
Let's start building the planner with the month and year.
Press T on your keyboard to create a new text box and type your first month and year, for example:
JANUARY 2027
For this design, I'm using Roboto Regular at 9 pt.
Align the text to the right, then open the Advanced settings and increase the Letter spacing to 250.
Place the month and year toward the top-right of the page, aligned with your guides.

Step 4: Create the Weekday Header
Next, create the weekday header.
Go to Tools > Tables and add a table.
The default table starts with 3 columns and 4 rows, but we only need 1 row and 7 columns for the weekday names.
Hold Shift and make the table a little smaller.
To remove the extra rows, click on any cell in the row you want to remove, click the three dots next to the row, and choose Delete row.
To add more columns, select any cell, click the three dots above the table, and choose Add column. Repeat this until you have seven columns.
Position the table underneath the month and year, then stretch it horizontally so it sits between your custom guides.
Select the entire table, click the three dots above or beside it, and choose Size columns equally.
Go to Spacing > Cell spacing and set it to 6.
For the weekday names, I'm using Roboto Regular, size 9, with Letter spacing set to 250.
Enter the names of the days, starting with Monday.
If you prefer a Sunday-start calendar, simply change the order of the weekdays.

Step 5: Style the Weekday Header
Now let's simplify the table borders.
Select the table and go to Border.
Select the side borders and the bottom border, and under Border style, choose None.
Then deselect those borders and select only the top border.
Set the border weight to 0.5.
This creates a simple line above the weekday names without adding unnecessary borders to the rest of the table.

Step 6: Create the Main Calendar Grid
Now it's time to create the main calendar grid.
Go to Tools > Tables and add another table.
This time, we'll need 7 columns and 6 rows.
The six rows give us the maximum number of weeks we'll need for any month.
Hold Shift and make the table smaller, then add four more columns and two more rows using the three-dot menu and Add Column or Add Row.
We'll remove any unnecessary rows for individual months later.

Step 7: Style the Calendar Grid
Before positioning the table, adjust the text and spacing.
Select the entire table and go to Spacing > Cell spacing.
Set the cell spacing to 10.
For the dates, I'm using Roboto Regular, size 9.
Align the text to the right, set the Letter spacing to 250, and set the vertical alignment to Align start.
Now let's style the borders.
First, remove the side borders.
Select the table, go to Border, select the left and right borders, and set their Border style to None.
Then deselect them and select the inside borders.
Set their weight to 0.5 and change the border color to grey.
Finally, deselect the inside borders, select the top and bottom borders, and set their weight to 1.

Step 8: Position the Calendar Grid
Position the date table underneath the weekday header.
Stretch it horizontally and vertically so it fills the space between your guides and reaches down toward the bottom guide.
Select the entire table, click the three dots, and choose Size columns equally and Size rows equally.
At this point, you should have a clean monthly calendar layout ready for the dates.

Step 9: Add the Dates
Instead of typing the dates manually, you can quickly copy them from an online calendar.
For this tutorial, I'm using timeanddate.com.
Under Calendar, choose the year you want to create, then select the country that uses your preferred week format.
Since I'm creating a Monday-start calendar, I selected my country, Croatia.
Click View calendar.
Select the entire month, including any empty cells at the beginning and the last date of the month.
It's important to include those empty cells because they keep the dates aligned correctly when you paste them into Canva.
Copy the selection and return to Canva.
Click the first empty cell in the date table and paste the dates.

Step 10: Finalize the First Month
Now that the first month is in place, check the overall spacing between the month name, weekday header, and calendar grid.
Make any adjustments you need to the positioning and alignment.
This is also a good time to check the font, font size, and letter spacing and make any final changes before duplicating the layout.
Once you're happy with the basic design, remove the January dates so you have a clean monthly calendar planner template.
Select the first date cell, hold Shift, and select the last date.
Press Delete on your keyboard.

Step 11: Create All Twelve Months
Now duplicate the page until you have twelve pages.
Change the month name on each page to create January through December.
Because you're working from the same basic layout, all twelve pages will stay consistent.

Step 12: Adjust the Calendar Rows
Some months need six rows, while others may need only five or even four.
Before adding the dates, use your calendar on timeanddate.com as a reference and check how many rows of dates each month needs.
When removing rows, delete them from the middle of the table, rather than the top or bottom rows. This keeps the border styling intact.
Click a cell in the row you want to remove, open the three-dot menu next to the row, and choose Delete row.
Stretch the table vertically so it reaches the bottom guide.
Then select the entire table, click the three dots, and choose Size rows equally.
Repeat this for each month that needs fewer than 6 rows.

Step 13: Fill in the Dates for Each Month
Now return to timeanddate.com and open the calendar for the year you're working with.
For each month, select the entire month, including any empty cells at the beginning and the last date of the month.
Copy the selection and return to the corresponding Canva page.
Click the first empty cell in the date table and paste the dates.
Repeat this process for all twelve months.

Optional: Add Previous and Next Month Dates
As an optional finishing touch, you can also add the last few days of the previous month and the first few days of the following month.
Copy the additional dates from your reference calendar and paste them into the appropriate empty cells.
Then select those cells by clicking the first one, holding Shift, and clicking the last one.
Change the font color to grey.

Make It Your Own
Once you have the basic calendar planner layout, it's easy to customize it to suit your own style and needs.
Change the font, colors, spacing, or layout to create a calendar that works for you. You can also adapt the design for different paper sizes, including US Letter or other custom print sizes.
Because you're creating the calendar from scratch in Canva, you can save the design as a reusable template and update the dates for future years.
You can keep it simple and minimalist, or add additional elements such as notes, to-do lists, holidays, illustrations, or other planning sections.
Export Your Calendar
When you're happy with your printable monthly calendar planner, click Share, then Download.
Under File Type, choose PDF Print.
Click Download to export your twelve-page calendar planner as a high-quality PDF ready for printing.
And that's it!
